With AdMind connected, the agent can do what a receptionist would: recognise the customer by their number, find an available time for the right treatment, and book, move, or cancel it. Live, while the customer is on the line or in the chat.

What you’ll need

  • An AdMind account
  • An API token from AdMind
  • The department number for the department the agent should book in

How to connect AdMind

  1. Open the agent, and click Integrations at the bottom of the menu.
  2. Click AdMind in the list, and go to the Settings tab.
  3. Click Connect.
  4. Fill in API Token and Department Number. The department number is usually 1 if you only have one department.
  5. Click Connect.
  6. The Appointment booking setup installs automatically. If it doesn’t, click Install next to it under What the agent can do.
  7. Click Publish in the agent’s menu.

What the agent can do

The setup gives the agent four workflows. You can see them on the agent under TeachWorkflows, on the Workflows tab, under the heading From AdMind.

Before the conversation

Two things happen on their own, as soon as the setup is installed:
  • The list of treatments, with prices and duration, is loaded before the agent says anything. The agent doesn’t need to look it up during the conversation.
  • The customer is looked up by phone number. If someone you know calls, the agent knows their name and upcoming appointments from the first reply.
There are no contacts you need to turn on. It comes with the setup.
The lookup by phone number needs a number. In chat and in online conversation, there’s no number, so the agent asks for it instead.

How it sounds on a call

Customer: Hi, I’d like to book a time for colouring. Agent: Hi Anna. Colouring takes an hour and a half. I have a time on Thursday at 10, or Friday at 14. Which works best? Customer: Thursday at 10. Agent: You’re booked in for colouring on Thursday at 10. Was there anything else?

What to check

AdMind doesn’t hold a time while you talk. The agent checks the time again right before it books, and finds a new time the same day if it’s gone in the meantime. The customer hears it as a single “that one’s just been taken, but I have 11 o’clock”.
Several customers can share the same phone number, for example in a household. So the agent asks whose appointment it is before it moves or cancels anything.
Click Disconnect in the column on the right, and connect again with the correct Department Number.
The list of treatments comes from AdMind. Create the treatment in AdMind, and click Refresh on the Connection card.
Check that the token was pasted in without spaces, and that the department number exists on the account.
When the agent moves an appointment, it doesn’t touch the customer’s email in AdMind. The agent doesn’t ask for an email when moving an appointment.

Removing the integration

Click Disconnect in the column on the right, and confirm. We forget the token and stop calling AdMind. Your bookings in AdMind are unaffected.
